AV System Upgrades 2018


A. Scope includes furnishing all materials and equipment, labor, service and performance of tests and operation necessary for the installation of an engineered quality audio system. System is tested for continuity, loads, safe limiting before installation by AV Contractor. AV Contractor provides approved material, cable, electronics, detail drawings, proper speaker aiming, terminations and balancing prior to commissioning and training.

B. AV Contractor shall supply AV fixtures, electronics, hardware and integrated control cabling requirements for a complete and working AV system, optimized, balanced and under 1 year warranty.

C. AV Contractor shall provide limited labor for installation of certain owner supplied items, only as specified herein. No warranty applies for owner provided items that may be coordinated or plugged in.

D. AV Contractor initiates coordination for his work in a timely fashion to EC prior to rough-in with shop submittals, in hand, including plan views and cable route confirmation.

E. Include all shipping costs in the base bid

F. Information concerning the design intent is contained in both the written specification (this document) and in the associated AV system drawings. Where conflicts exist between drawings and system specifications, the AV Contractor must bring discrepancies to the project AE’s attention of the AV consultant prior to bid due date. The most expensive option shall prevail unless otherwise approved by the AV Consultant. Refer to drawings for specific quantity unless quantity is indicated within the project specification. Should a conflict of quantities exist between the drawings and the system specification, the higher quantity shall prevail.

G. EC shall be responsible to clean up, remove and dispose of all debris associated with this work. Maintain cleanliness of the property at all times.

H. This AV system project shall be performed by a single AV contractor.

B. Project Schedule:

1. Interested bidders are strongly encouraged to attend a pre-bid meeting August 9, 2018 10am to be held at the facility which shall include a complete walk through of the project and installation.

2. Final questions are to be submitted no later than August 16, 2018 5:00pm to allow for responses to be shared with all bidding participants. Answers to questions submitted after this date shall not be binding.

3. Submission of bids will be accepted up to August 23, 2018 3:00pm. Bids will be opened August 23, 2018 3:30pm

4. Award of bid shall take place September 19, 2018 following Board meeting.

5. Work to commence as soon as possible after Board approval on September 19,


6. Substantial completion of audio upgrades by December 3, 2018

7. Final commissioning to be completed by December 20, 2018.

C. Responses submitted late will not be considered. The Vendor is responsible for ensuring that their response is received at the time, date, and place specified. All times are State of Illinois local times. Responses received after the specified date and time may be returned at the Vendor’s request and expense.

D. Bid documents are for estimating/bid purposes and represent bid date conditions known. While each and every minor item may or may not be specified on bid documents, a complete system shall be provided with qualified AV expertise. Notify of any significant discrepancies found, before bidding and attend pre-bid meeting for questions and answers.

E. It is the responsibility of the AV Contractor to verify the completeness of drawings, written specification and schedules and the suitability of devices to meet the specified intent. Any additional equipment, accessories or incidentals that may be required, whether or not specifically mentioned, shall be provided by the AV Contractor without claim for additional payment. It is understood that a complete fully functional system is required.

F. Substitutions may be requested for specified hardware if properly requested and approved in writing prior to bids. All other items are bid as voluntary alternates, if complete material lists are included for evaluation and base bids are also submitted. Voluntary offerings cannot be considered without a base bid per specs and drawings.

1. Requests for substitution shall reference original specification model and show literal equal requested by model number. Provide detailed data for relevant comparison submitted to architect/consultant 10 business days before bid due date for this section. If no response is given, no approval is implied.

2. Verbals will not be binding.

3. Incorporate latest manufacturer “running line” product models for base bid, without product substitution and continue meeting specifications and design intent.

4. Any installed modification required as a result of non- approved substitutions shall be included in the scope of the AV Contractor at his expense without change order.

G. Wire/cable shown is for bid estimating purposes only. Verify homerun circuits, loads, gauge and counts before bidding with actual manufacturer requirements. Drawings, risers and specifications are cooperative. (Work shown on one implies work on the other). Provide spares when in doubt. Coordinate quantities on plans, risers and specifications. Supply higher counts in case of discrepancy or if in doubt.

H. Verify manufacturer’s actual requirements before installation, including cables, power supply and shipping dates in advance for long lead time items. Include necessary or minor transformer isolation, control wiring, jacks, supports, and misc. items as required without extra charge/claim.
